About Apex Law Chamber

Apex Law Chamber is an established intellectual property law firm in Nepal, providing legal services in trademarks, patents, copyrights, industrial designs, intellectual property litigation, corporate and commercial matters, and related areas.

We are seeking a professional, organized, proactive, and client-focused Front Desk & Client Relations Officer to manage daily office activities, handle client communications, maintain client and inquiry records, and support smooth coordination between clients, legal professionals, and management.

Salary: Negotiable, based on qualifications and experience.

Key Responsibilities

1. Front Desk & Reception Management

  • Welcome clients, visitors, and business associates professionally.
  • Handle incoming telephone calls, emails, messages, and general inquiries.
  • Direct client inquiries to the appropriate lawyers or departments.
  • Manage visitor records and coordinate appointments and meetings.
  • Maintain a professional, organized, and welcoming reception environment.

2. Client Communication & Relationship Management

  • Act as the first point of contact for existing and prospective clients.
  • Respond professionally to inquiries through phone, email, WhatsApp, and other approved communication channels.
  • Gather basic client information and understand the general nature of their inquiries.
  • Coordinate consultations and meetings between clients and legal professionals.
  • Communicate appointment confirmations, document requests, and approved updates to clients.
  • Maintain regular follow-ups on outstanding client requests.
  • Ensure client concerns are properly recorded and communicated to the responsible team.

3. Lead & Inquiry Management

  • Record new inquiries received through the website, phone, email, social media, and office visits.
  • Maintain an organized database of prospective clients and business inquiries.
  • Track inquiry sources, requirements, assigned personnel, follow-up dates, and current status.
  • Follow up with prospective clients to arrange consultations and obtain required preliminary information.
  • Coordinate with management and the legal team to ensure timely responses.
  • Prepare weekly summaries of new inquiries, pending follow-ups, and lead conversions.

4. Client Information & Records Management

  • Create and maintain accurate client profiles and contact information.
  • Organize client-related correspondence, forms, and administrative records.
  • Assist in collecting, scanning, uploading, and organizing documents in designated client folders.
  • Maintain accurate digital and physical filing systems.
  • Track missing documents and follow up with clients when requested by the responsible legal team.
  • Ensure confidentiality and secure handling of all client and company information.

5. Daily Office Administration

  • Assist in managing routine office operations and administrative activities.
  • Maintain office schedules, appointment calendars, and meeting arrangements.
  • Coordinate with staff and management regarding operational requirements.
  • Monitor stationery, office supplies, and other administrative necessities.
  • Handle incoming and outgoing letters, couriers, and official correspondence.
  • Prepare basic reports, letters, spreadsheets, and administrative documents.
  • Coordinate routine activities to ensure smooth day-to-day office operations.

6. Internal Coordination & Reporting

  • Coordinate between clients, lawyers, administrative staff, and management.
  • Track assigned administrative tasks and remind responsible personnel about pending follow-ups.
  • Maintain daily records of inquiries, client communications, and appointments.
  • Prepare daily and weekly activity reports.
  • Escalate urgent client matters, complaints, and unresolved issues to the appropriate person.
  • Perform other reasonable administrative duties assigned by management.

Job Requirements

Education

  • Bachelor’s degree in Business Administration (BBA), Business Studies (BBS), Management, or a related field.
  • Candidates from other academic backgrounds with relevant experience may also apply.

Experience

  • Minimum 1 year of relevant experience preferred in front desk operations, office administration, customer service, or client relationship management.
  • Previous experience in a law firm, consultancy, corporate office, or professional services organization will be an advantage.
  • Capable fresh graduates with excellent communication and organizational skills may also be considered.

Technical Skills

  • Proficiency in MS Word, Excel, Outlook, and other standard office applications.
  • Ability to manage professional emails and digital calendars.
  • Good computer typing, data entry, and document management skills.
  • Familiarity with Google Workspace, CRM tools, or office management systems will be an advantage.
  • Ability to maintain accurate digital records, spreadsheets, and client databases.

Communication & Interpersonal Skills

  • Excellent verbal and written communication skills in both Nepali and English.
  • Professional telephone etiquette and interpersonal skills.
  • Ability to interact confidently and respectfully with local and international clients.
  • Strong listening skills with the ability to understand and record client requirements.
  • Polite, patient, presentable, and service-oriented personality.
